Stage 1: Mobilization
A mobilization stage, your organization’s project requirements are defined utilizing the Project Tools. These requirements become the basis of the tailored solution we will develop to convert your files into Digital Assets.
A mobilization period stage will be around 5 weeks after the project award.
Stage 2: Receiving Files
A receiving files stage, we receive the project files and perform an inventory process to log and label these materials. These processes allow us to quickly retrieve any materials you may need while your files are in Our Care. Our goal is to serve your information access needs, minimizing the impact of this project on your business.
Stage 3: Preparing Documents
A preparing documents stage, your files are prepared for scanning. The document preparation processes we utilize ensure that the natural order of each file is maintained and that the files are prepared to enable the best possible scanning results. The Preparation Team focuses on general project requirements (such as staple removal, binding removal, document repair, and page orientation). The Preparation & Quality Review entails a thorough review of the prepared files to ensure that all project requirements are met and that no variation is introduced into the process. Our experience with large-scale file conversion projects has shown that this unique approach minimizes any impact on quality.
Stage 4: Scanning
A scanning stage, the two possible options:
Option 1: Use IBM (FileNet) for scanning if your organization arranges licenses. also your or IBM (FileNet) representative will train Autographics team 3 days without any charges from our side.
Option 2: Use VisionFile™ system for scanning stage, in this case IBM (FileNet) representative will help in data migration.
Stage 5: Indexing, quality assurance & quality control
Based on analysis phase, yours and Autographics® team agreed to create one or more of indexes that will use for retriving the captured documents. These indexes must bulid within implemantation stage.
The indexing operation consists of the following :
- Pick Data from document.
- Enter the data that already picked.
- Re-group Documents into Sections.
- Re-attach Sections into Files
Stage 7: Quality Assurance & Quality Control by yours
In this stage, after having completed the Autographics® quality control process, yours is required to approve both the data entered and the quality of scanning.
Stage 8: Report
A report stage, lies the importance of the reports to show works and productivity of project.
